From spreadsheet to CRM: a 30-day plan
You've been running on a Google Sheet for two years. Migrating to a CRM in one weekend will fail. Here's the staged plan we use.
Day 1-3: Get every active customer into HudsonWorks. Don't migrate history — just current pipeline. The customer with no email field on the spreadsheet finally gets one.
Day 4-10: Move active projects in. Phase the projects you already have running. The legacy export from your spreadsheet stays as an archive.
Day 11-20: Field crews onboard. They install the mobile app, clock in for two weeks, and you compare hours to your old timesheet. Adjust friction — usually the issue is which task gets created vs which one is on the field crew's list.
Day 21-30: Start invoicing from HudsonWorks. Run parallel against your old system for two weeks. Then cut over.
After 30 days, you stop double-entering. The CRM is the source of truth. You can throw away the spreadsheet.
